Our client’s issues : a growing organisation let down by their print service provider

Mode was asked to review the print solution of a charity that delivers community services and helps similar organisations to do the same. 


The core objective of this third sector organisation was to be as environmentally friendly as possible but also GDPR compliant whilst being mindful of costs. However, as the charity’s work expanded, it became more difficult for them to keep all their balls in the air. More specifically, with an increased need to print out and scan documents, their existing issues with their printing environment only became worse.


The equipment was old and poorly maintained by their service provider.  Their traditional print lease did not offer them any flexibility either, nor did it support the charity with their expansion.


The other problem faced by the charity was that they could not track usage of print and documents. That created waste as many documents were not claimed and that also meant the organisation was at risk of not being GDPR compliant.

Our solution : Mode’s Simple product

Mode recognised immediately that the charity would benefit from the Managed Print Suite (MPS).


Rule-based printing allows the designated admin to implement hard rules about printing documents – for example, printing double-sided and in monochrome. Another advantage of MPS is that the volume of unclaimed printouts is reduced because the author of the document has to release the printing at the device. Advanced reminders such as pop-ups, asking them “Do you need to print this in colour?” or “Can you print double-sided?” reminds the user of the environmental impact of printing.


The charity also opted for Mode’s Simple product which means that they  deal with us for all their equipment, materials, financing and servicing. It  allows them the flexibility to expand by making any necessary changes to their agreement with us.


Thanks to new software and policies, the organisation is also able to safeguard all members and staff details in a way which is secure and GDPR compliant.
